Definition

Out of order is the room status given to a room or cabin that cannot be sold or used because something is broken, unsafe or under repair. A burst pipe, a broken air conditioning unit, a damaged bathroom or a renovation can all put a room out of order. While the status is on, the front desk cannot assign the room to any guest. Some operations also use a lighter status for rooms that can still be sold but have a small fault waiting for repair; the exact names differ from place to place, so every team must know its own.

The crew view

For a room attendant or a cabin steward, the first job is to spot the problem and report it straight away. If you enter a room and find something that makes it unsafe or unusable, such as water on the floor, a broken window, no power or a strong smell, you stop, you do not try to hide it, and you inform your supervisor. Describe exactly what you saw and where.

The steps are clear. Report the fault. Your supervisor or manager decides whether the room goes out of order and changes the status in the system. Maintenance is informed with a clear description. The room is locked and, where the operation uses them, marked so no one enters by mistake. When maintenance finishes, housekeeping cleans the room fully, because repair work always leaves dust and marks. Only after the room is cleaned and inspected does it return to the available list.

The common mistakes: cleaning a room with a serious fault and releasing it as ready, reporting the fault verbally and assuming someone wrote it down, and forgetting to clean after maintenance so the next guest finds tools, dust or a ceiling tile out of place.

The manager view

For a manager, every out of order room is a room that earns nothing, so the status must be accurate and short. Put a room out of order quickly when it is not safe, but follow it every day until it comes back. A room that stays out of order for weeks because nobody chased the part is lost revenue and a sign of weak follow-up.

Keep a simple list: room number, reason, date it went out, who is responsible and the expected return date. Review it with maintenance and the front office at the daily meeting. Agree on one rule for who can put a room out of order and who can release it, so the status is never changed by accident. On a ship, the same discipline applies to guest cabins and to crew cabins, which officers inspect and report through their own channel.

The guest view

The guest should never meet an out of order room. If the status works, they simply never know the room existed. If it fails, the guest opens the door to a broken room after a long journey, and the trust is gone before they put their bag down.

A real situation: a guest is moved during the stay because the shower in their room has stopped draining. The room is put out of order, maintenance fixes the drain the same afternoon, and the room is released in the system straight away. The next guest checks in and finds dirty footprints and a used towel left by the repair. The fix is the rule that maintenance hands back to housekeeping, not to the front desk, and every out of order room is cleaned and inspected before it is sold again.

Recap

Out of order means the room cannot be sold or used until it is repaired. The crew reports faults straight away and cleans after every repair. The manager keeps the list short, accurate and followed every day. The guest should never see an out of order room, only the result of a team that caught it in time.
